Annual NACUSA Administrative Calendar

This calendar includes the regular schedules for membership renewals, ComposerUSA issues, nominations and elections, the Young Composers' Competition, meetings of the Officers' Council and of the Board of Directors, National Treasurer's financial and budget reports, chapter reports, and Advisory Council member reports. Note that it does not include schedules for ad hoc projects. Changes and additions may be made by the webmaster as needed.

January 1:

  • Membership year begins.
  • Second notice is sent saying dues have not been received and membership is in jeopardy.
  • New officers and at-large board member take office.
  • Advisory Council members submit brief annual report statement to the Board of Directors.

January 15:

  • Board of Directors meets online to review NACUSA annual financial report for the previous year and budget for the current year as prepared by the OFficers' Council; to review short report statements from National Advisory Council members; and to propose, discuss, and vote on resolutions.
  • Submission deadline for materials to Editor for ComposerUSA, No. 1: This issue includes annual financial report; announcements of new officers, new Board members, in addition to member news items, letters to the editor, chapter news, reviews of concerts, President's column, "Meet the Composer" biographies, articles, announcements, and NACUSA concert programs.

February 1:

  • Third notice stating that membership will end if dues are not received soon.

February 7:

  • Editor sends ComposerUSA, No. 1 to be posted on the website.

February 15:

  • National Treasurer distributes membership dues to the chapter treasurers.

Mid-February:

  • Officers' Council meets; reviews mid-year Treasurer's report; reviews resolutions and recommendations from the Board of Directors; reviews upcoming organizational, governmental, and performing rights deadlines.
  • Young Composers' Competition adjudicators begin to evaluate submissions.

March 1:

  • Final notice saying that membership will end April 1 if no dues are received.

April 1:

  • Membership termination notice: "We are sorry, but you are no longer a member."

April 15:

  • Young Composers' Competition (YCC) Chair notifies YCC contestants of results.

May 15:

  • Submission deadline for materials to Editor for ComposerUSA, No. 2: This issue includes call for nominations for At-Large Board member candidates, Young Composers' Competitions winners, member news items, letters to the editor, chapter news, reviews of concerts, President's column, "Meet the Composer" biographies, articles, announcements, and NACUSA concert programs.

June 1:

  • Treasurer prepares annual bank account report for audit.

June 7:

  • Editor sends ComposerUSA,, No. 2 to be posted on the website.

July 1:

  • Treasurer submits report for audit.

September 1:

  • Deadline for chapters to submit annual financial reports to National Treasurer.
  • National Treasurer prepares NACUSA Annual Financial Report.
  • National Treasurer applies new member dues received from September 1st onward to next calendar year.
  • Officers' Council meets, reviews annual financial report, prepares annual budget, and reviews status of Endowment.
  • IRS 990-N forms usually issued. Need to be completed by 11/1. Copies of the card should be sent to Treasurer and Secretary.

September 15:

  • Submission deadline for materials to Editor for ComposerUSA, No. 3: This issue includes candidate statements and Election Ballots and Young Composers' Competition announcement flier, letters to the editor, chapter news, reviews of concerts, President's column, "Meet the Composer" biographies, articles, announcements, and NACUSA concert programs.
  • National Treasurer distributes membership dues to the chapter treasurers.

October 7:

  • Editor sends ComposerUSA,, No. 3 to be posted on the website.

Late November:

  • Renewal package sent out, stating clearly that the due date is December 31.

November 15 - December 15:

  • Board of Directors online meeting: Appoints officers in odd years (e.g., Vice President(s) and Treasurer in 2005 for 2006, President and Secretary in 2007 for 2008).

November 27:

  • Board Member Election Call announcing voting period.
  • Election is computer facilitated process. Voting members are sent a link that leads them to the digital ballot. Votes are counted electronically.

December 1:

  • Board Members Election Voting Period starts.

December 5:

  • A second reminder about the Board election process is sent to all voters.

December 15:

  • Young Composers' Competition submission deadline.
  • A second reminder about the Board election process is sent to all voters.

December 17:

  • Board Members Election Voting Period closes.

December 18:

  • Results of the Board Members Election process are sent to the President and Board.

December 20:

  • President announces results of the election to all members.

December 31:

  • Membership year ends.

General:

  • Treasurer mails contribution acknowledgements when received.
  • National concert(s)/conference scheduled in even years.
  • Chapters should continuously post concert reports/program PDFs.
